Confirmed incoming is different from a possibility
An enquiry about another batch is not inventory in transit. Use the actual agreed quantity and exact reference. Review whether that supply is still confirmed and whether any items have been changed or cancelled.
Identify the version and size of each incoming piece. A shipment of Fan L shirts cannot automatically cover Player M requests.
Check timing and existing commitments
A parcel that is expected after the customer’s agreed deadline may not cover the immediate requirement. The simple quantity calculation cannot decide that timing question. Count only the incoming quantity you reasonably expect to use for this review, and record why.
A shipment may already be allocated to different buyers. Do not subtract those pieces from another row merely because they are on the way.
Use a separate row note for uncertainty
If arrival timing is uncertain, record it and ask before buying again. Do not assume a delayed parcel has disappeared, or place a duplicate reorder solely because tracking has not updated.
Once incoming goods arrive, move the usable pieces to sellable stock and remove the same quantity from incoming. Counting them in both places hides a shortage.
Check the inputs.
- Confirmed—not just quoted—quantity
- Same design, version and size
- Available to this demand
- Expected arrival fits the requirement
- Not counted again as sellable stock
