Read a demand gap without turning it into a forecast

What does the calculated gap actually mean?

Demand gap is confirmed demand minus matching sellable stock minus usable incoming stock, with the displayed result limited to zero or above. A positive number is a shortage to review, not an instruction to purchase.

The calculation has a narrow purpose

If demand is 4, sellable stock is 1 and usable incoming stock is 1, the gap is 2. If demand is 2, sellable stock is 1 and incoming stock is 2, there is no immediate shortage shown. The tool displays a review quantity of 0 rather than a negative purchase quantity.

Do not apply a team-wide stock total to a size-specific request. Every row needs a coherent reference, version and size.

Zero does not mean “never reorder”

Zero means the entered quantities currently cover the entered demand. It does not say that future demand will be zero, that the incoming parcel is guaranteed to arrive, or that every stock item is suitable. Revisit the inputs when your situation changes.

A future sales estimate belongs outside confirmed demand. You can record recent sales as context in notes without converting an estimate into a confirmed shortage.

A shortage still needs a supply conversation

Before any purchase, confirm the exact available reference, size, version, accepted quantities, current quote and shipping arrangements. If the offered item differs from the request, ask the customer before treating it as covered.

The review does not establish live availability, supplier lead time, resale margin or a purchasing commitment.

Before this row enters your review

Check the inputs.

  • Demand remains outstanding
  • Stock and incoming match the row
  • Reservations are not double counted
  • Timing checked separately
  • Positive gaps reviewed before purchasing
